Why your Zoho emails go to spam - and how to fix it.

SPF and DKIM are set, your domain is verified in Zoho, and mail still lands in spam. That's not a contradiction - authentication and inbox placement are two different things. Here's what's actually happening with Zoho Mail and Zoho Campaigns, in order of how often it's the culprit.

The thing most people get backwards

When Zoho mail goes to spam, the instinct is to re-check DNS. But if your records were set weeks ago and worked, they almost certainly didn't change. The far more common cause is your list and your engagement - sending to addresses that bounce or never open. That's invisible in Zoho's setup screens, which is exactly why it gets missed.

1. First: which Zoho are you sending from?

Zoho Mail and Zoho Campaigns are different products with different reputations and different rules. Zoho Mail is for one-to-one and transactional mail and enforces sending limits. Zoho Campaigns is for bulk and marketing. If you're blasting a newsletter or cold list through Zoho Mail, that's your first problem - it's the wrong tool, it hits limits, and it damages the reputation of the mailbox you rely on day to day. Move bulk to Campaigns and keep the two separate.

2. The records Zoho actually needs - and the SPF trap

Zoho requires its own SPF include, DKIM enabled in the admin console with the selector it gives you, and ideally a DMARC record. Two things trip people up. First, your SPF include is region-specific: a zoho.in account and a zoho.com account don't use the same value, and the wrong one fails SPF. Second, you may only have one SPF record on a domain - if you added Zoho's as a separate second record, mail can fail authentication outright.

How to actually check

Send yourself a test, open it in Gmail, click the three dots → Show original, and read the SPF, DKIM and DMARC lines. You want all three to PASS. If SPF fails, check that you have a single SPF record containing Zoho's correct regional include. You can verify your domain against Zoho's exact spec with our CRM DNS Verifier, and there's a step-by-step in our Zoho SPF, DKIM & DMARC setup guide.

3. Shared-IP reputation on Zoho's pools

On Zoho's shared sending infrastructure you inherit some reputation from your neighbours, but your own behaviour dominates over time. Bounces, complaints and spam-trap hits from your sends are what actually decide your placement. You can't control the pool, but you fully control whether you send to clean, engaged addresses - and that's the lever that matters.

4. The cause hiding in plain sight: list rot

Stale and scraped lists are the number-one reason good setups still land in spam. Every invalid address is a hard bounce, and a high bounce rate is one of the loudest negative signals you can send. Scraped lists - common in fast-moving SMB outreach - are also seeded with spam traps that can damage your reputation for weeks from a single hit.

The fix that actually moves the needle

Clean every list before it goes into Zoho. Remove invalid syntax, dead mailboxes, disposable domains, role addresses (info@, sales@) and likely traps, so you never send to an address that bounces. Run it through our List Cleaner for free first - it flags exactly the addresses that will hurt you.

5. Content and the Promotions tab

Heavy images, lots of links, big CTA buttons and marketing footers push mail toward the Promotions tab or spam. For one-to-one mail from Zoho Mail, send plain-text-styled messages with one link or none. For Campaigns newsletters, Promotions is often the correct and expected place - trying to force Primary usually backfires.

6. New domain, cold sending

A young domain with no sending history that suddenly pushes cold volume sends a textbook spam signal. Warm new domains with low, steady, human-looking volume that ramps over two to four weeks before any bulk or cold send. If you're doing cold outreach, do it from a separate domain so a damaged reputation never touches your primary business mail.

7. How to diagnose which one is your problem

Work cheapest first. Send tests to your own Gmail, Outlook and Yahoo accounts. If tests land but real sends don't, it's your list and engagement. If even tests fail, read the headers via Show original, verify your records against Zoho's exact spec with our CRM DNS Verifier, and run a Blacklist Sweep across 12 RBLs to see if you've been listed.

8. The order to fix things in

Fix authentication first - one SPF record with Zoho's correct regional include, DKIM enabled, DMARC published. Move bulk off Zoho Mail and onto Campaigns. Verify and clean every list before sending. Warm new domains and keep cold outreach on a separate one. Reputation is earned slowly and lost quickly, so the single highest-leverage habit is to stop sending to addresses that bounce.

Frequently asked questions

Why are my Zoho emails going to spam even though SPF and DKIM are set up?
A resolving SPF or DKIM record only proves the record exists - it does not guarantee inbox placement. Placement depends on your domain and IP reputation, list quality, engagement and content. The most common hidden cause is sending to a stale or scraped list, which produces bounces and complaints that teach Gmail to filter you regardless of authentication. Verify the list first, then look at reputation.
What SPF include does Zoho need?
Zoho requires its own SPF include in your single SPF record - and the exact value differs by region, so a zoho.com account and a zoho.in account do not use the same include. You must have only one SPF record on the domain; if you added Zoho's as a second record, mail can fail SPF. Enable DKIM in the Zoho admin console, publish the selector it gives you, then publish a DMARC record.
Should I use Zoho Mail or Zoho Campaigns for bulk email?
Use Zoho Campaigns for any bulk or marketing send. Zoho Mail is built for one-to-one and transactional mail and enforces sending limits; pushing bulk through it damages your reputation and can get your account flagged. Campaigns is designed for volume, handles unsubscribes, and keeps bulk reputation separate from your day-to-day mailbox.
Why do Indian SMB cold emails land in spam so often?
Cold outreach to lists that were scraped or bought is the core problem, and it is independent of which provider you use. No prior engagement, a high share of invalid or trap addresses, and aggressive volume from a young domain all combine into a strong spam signal. Verify and clean every list before sending, warm new domains, and keep volume conservative.
How do I know if it is a Zoho problem or a list problem?
Check whether the problem is universal or selective. Send tests to your own Gmail, Outlook and Yahoo inboxes. If those land fine but real sends underperform, the issue is your list and engagement, not Zoho. If even test sends fail authentication or hit spam everywhere, it is a setup or reputation problem. Verify your list and check your domain's records to separate the two.
